This is the Privacy Statement of Momentum (Norfolk). This statement describes how Momentum protects and makes use of the information you give the organisation when you use our services. If you are asked to provide information it will only be used in the ways described in this statement.

Introduction

Momentum gathers and uses certain information about individuals and organisations in order to provide products and services and to enable certain functions on our website.

We also collect information to better understand how our services and websites are used and to present timely, relevant information. We also use information for monitoring and evaluation of our services.

What data we gather

We may collect the following information about you or your organisation:

  • Name and job title
  • Contact information including email address
  • Demographic information, such as address, postcode
  • Details of your organisation and the services it provides
  • Details of your governance, policies and procedures
  • Accessibility data
  • Evidence that a DBS check has been applied for
  • Details of grants applications
  • Training courses attended
  • Other information relevant to monitoring and evaluation
  • Census information regarding numbers and demographics of the young people you support (no individual details)

How we use this data

Collecting this data helps us to understand what you are looking for from Momentum, enabling us to deliver improved services. Specifically, we may use data for our own internal records for:

  • Monitoring and evaluation
  • To improve the products and services we provide

The information we hold allows us:

  • To contact you in response to a specific enquiry
  • To respond to your enquiries
  • To customise our website for you
  • To confirm that DBS applications have been processed
  • To send you our E-news and other promotional mailings, or to contact you about services and information that we think might be relevant to you
  • To contact you via email, telephone or mail for evaluation purposes

Information we share

We will share details of who our members are (organisation names, postcode and membership levels) for the following reasons:

  • So that our members can access reduced price products and services from other organisations (such as Safer, UK Youth)
  • As part of our monitoring for our funders
  • Joint working with other infrastructure organisations such as Community Action Norfolk and Voluntary Norfolk

We will ask you on our membership form for consent to share your information. If you opt out you will not be able to access the potential benefits. You can email us at anytime on info@momentumnorfolk.org.uk

Should we ever believe that the behaviour of an individual staff member / volunteer or the way a group is run puts a young person / young people at risk then we will follow our safeguarding procedures and report our concerns to the Multi-agency Safeguarding Hub / Local Area Designated Officer. In these circumstances we will tell you that a referral is being made – unless it puts a child in immediate danger to do so.

Controlling information held about you

When you complete your membership form or provide your details to us you will have the option to opt in to our E-news and to publish your group / organisation details on the Go-Do website.

If you have agreed that we can use your details to send our E-news or advertise your group on Go-Do you can change your mind by:

  • Send an email to us at news@momentumnorfolk.org.uk
  • Clicking the “change your preferences link” in the E-news
  • Write to us at Momentum (Norfolk), Room 11, Diamond House, Vulcan Road North
    Norwich, NR6 6AQ

We will never lease, distribute or sell your personal information to third parties unless we have your permission or the law requires us to.
Any personal information we hold about you is stored and processed under our Data Protection Policy, in line with the General Data Protection Regulations 2018.

Security

We will always hold your information securely. Only authorised staff will have access to your data. To prevent unauthorised disclosure or access to your information, we have implemented strong physical and electronic safeguards. We will also follow stringent procedures to ensure we work with all personal data in line with the General Data Protection Regulations 2018.

How long we retain your information

The majority of personal information is deleted after one year or less. We will tell you when we are asking you for your data how long we will retain it for. We will ask you to keep us updated about any changes to your data and at the start of our membership year (1 April) we will ask you to let us know of any changes.
